Managed tenancies are kept in step between Street and Inventory Hive on their own. You book interim visits in Street exactly as you do now; the inspector completes the report in the Inventory Hive app; the finished report comes back onto the Street inspection. The dashboard shows where every visit is and which ones need a hand.

It reaches IH

A managed tenancy starts in Street. The property, tenancy and tenants are set up in Inventory Hive within a few minutes. When the tenancy ends in Street it is archived in IH.

You book it

Book the interim inspection in Street as normal and confirm it. Street tells the tenant. Nothing to do in Inventory Hive.

The visit

The inspector opens the property in the Inventory Hive app and starts an Interim Visit report. When it is completed the PDF comes back on its own.

You close it

The report lands on the Street inspection as a document, with a note. Send it to the landlord and tenant, mark the inspection complete and book the next one.

Only managed tenancies go to Inventory Hive: Fully Managed and Fully Managed Plus.
Let Only, Tenant Find Only and Rent Collection are never set up there. Nothing to do for those.
The service level on the Street tenancy is what decides it, so keep it right in Street.
A tenancy with no service level in Street is treated as managed rather than missed.

What you do

    Keep the Street tenancy right. Service level, tenants and dates on the Street tenancy are what Inventory Hive is built from. Change them in Street, never in IH.

    Book the interim visit in Street and confirm it so the status is Booked. The row appears on the dashboard and the property is made ready in IH.
  • 3
    Inspector: start the report from the property in the Inventory Hive app, as an Interim Visit. Do not use the IH diary; the booking lives in Street.
  • 4
    When the row says Report in, open the inspection in Street. The PDF is under its documents. Send it to the landlord and tenant from Street, upload it into the Inspection Report slot if your office uses it, mark the inspection complete and create the next one. The row closes itself when Street does.

What you'll see on the row

  • Pending
    Street has the inspection but it is not yet confirmed as Booked.
  • Booked
    Confirmed in Street. The property and tenant are in IH and the inspector can start the report.
  • Report in
    The report has come back and is attached to the Street inspection with a note. Close it in Street.
  • Closed
    The inspection is completed in Street. Nothing more to do.
  • Needs link
    The property has no Inventory Hive record yet. Usually a tenancy that has not synced; press Re-sync on the row, or ask Peter.
  • Cancelled
    Cancelled in Street, or a tenancy that is not managed so no visit is expected.

Property not in Inventory Hive?

New managed tenancies arrive within a few minutes of being created in Street, and a daily sweep catches anything missed. If a row says Needs link, press Re-sync on it. If the tenancy is Let Only, Tenant Find Only or Rent Collection it is not meant to be there.

Report not showing yet?

The report comes back once the inspector has completed it in the IH app, not when the visit is done. Press Refresh on the dashboard. The Tenancy links tab shows whether the property and tenancy are live in IH.

Closing the inspection is yours

The report is attached and noted on the Street inspection automatically, but the inspection stays open until someone marks it complete in Street. That is deliberate: you send the report to the landlord and tenant, and you book the next visit.
